Sophia Jain Coaching | Coaching Agreement and Terms
Dear Client,
Welcome to this space. I am looking forward to partnering with you and building a collaborative relationship that supports your personal journey. Please read through this entire document carefully. The final section requires your signature and initials to confirm our shared understanding before we begin.
The Co-Creative Relationship
The relationship between a coach and a client is co-creative and built on a foundation of mutual respect and equality. I partner with you as a supportive thinking partner, utilizing specialized communication and strategy frameworks to help you process your transitions and define your own path.
Legal & Professional Disclaimers (Please Read Carefully):
Not Legal Advice: Sophia Jain is a licensed attorney; however, Sophia Jain Coaching strictly provides life coaching and personal strategy services. I do not practice law, provide legal representation, or offer legal advice through this platform. Our relationship does not constitute an attorney-client relationship, and our sessions are not protected by attorney-client privilege.
Limitation of Legal Involvement (Legal Defense): You agree that our coaching relationship is strictly limited to personal strategy and future-focused life coaching. Under no circumstances will I provide testimony, submit affidavits, or act as an expert witness in any of your active or future legal proceedings, family law cases, divorce proceedings, or court disputes. Furthermore, you agree that my confidential coaching files, notes, and AI summaries are entirely separate from legal records and will not be subpoenaed or introduced into a court of law.
Not Medical or Mental Health Therapy: Coaching is not a substitute for clinical therapy, counseling, or mental health medical treatment. If acute psychological support becomes necessary, it remains your responsibility to seek those independent professional services.
Your Role & Agency
Client-Led Focus: Please take time before each session to determine what you would like to bring to the space. Because this process is entirely client-led, I will ask you for your focus area at the beginning of each call. If you wish, you are welcome to email me an agenda or brief background notes 24 hours prior to our session.
Honoring the Container: Treat our coaching sessions as a valuable investment in your future. Please protect this space by arriving on time, centered, and ready to engage.
Real-Time Feedback: Please provide open feedback about your coaching experience in the moment. I am here to support your growth, not to be attached to being right.
My Role as Your Coach
Active Presence: I will listen deeply, respond to your insights, and ask grounding questions. If I notice intuitive patterns or subtle shifts in your language, I will bring them to light for us to explore together.
Forward-Moving Requests: At the conclusion of a session, I may offer a coach request or challenge to help you stretch your work, deepen self-reflection, or practice setting boundaries between calls. You always maintain complete agency to accept, decline, or negotiate these requests.
Between-Session Communication: If you have questions, a brief update, or a quick idea to share between scheduled appointments, you are welcome to contact me via email. If necessary, we may arrange a brief phone check-in or add the item to our next formal agenda.
Structural Terms, Portfolio Fees, & Privacy
The Foundational Package: To support my advanced certification path with the International Coaching Federation (ICF), I provide one completely pro-bono, client-led coaching session at zero financial cost to you.
Transition to Paid Coaching: If we mutually decide to extend our coaching partnership beyond this initial session, we will transition to a collaborative, sliding-scale portfolio rate that aligns cleanly with your current financial landscape.
Reciprocal Support & Referrals: While this initial session is pro-bono, I do ask that you honor our work by providing committed attendance, anonymous milestone feedback for my ICF log, and a written testimonial or Google review if you find our space valuable. Furthermore, if you feel this container has served you, you are warmly invited to organically refer other survivors who could benefit from a strategic, client-led framework.
AI Recording, Opt-Out Rights, & Documentation: To help ensure I remain fully present during our conversations, I utilize Calendly’s AI Notetaker tool to record our video meetings and generate automated transcriptions, summaries, and action steps. Your comfort and privacy remain paramount; you have the absolute right to request that any session not be recorded, and I will disable the AI tool immediately upon your request at any time. AI-generated transcripts and summaries can contain errors. I will personally review any material before using or sharing it, and you are encouraged to correct anything that does not accurately capture our conversation.
Peer Review & Credentialing Disclosures: To document my training hours and fulfill my certification requirements, your basic information (name, email, address, and session dates) will be logged confidentially with the International Coaching Federation (ICF), the global professional association and credentialing body for coaches. Furthermore, to maintain the highest quality of professional development, I may selectively share my session recordings and notes with my personal supervising coach for peer review, mentoring, and credentialing audits. If you choose to opt out of recording, only your baseline timeline logging details will be shared.
Session Procedures & Attendance Boundaries
Meeting Format: We will meet virtually via our designated Google Meet link unless we have explicitly agreed to a phone call or an in-person meeting.
Running Late: If you are running late, please text or call me immediately at 310-295-7575.
The 15-Minute Rule: If you do not join our digital meeting or call within 15 minutes of your scheduled time, the session will be considered canceled. Because these pro-bono slots are limited, a late cancellation or no-show will be counted as a completed session.
Rescheduling Policy & 24-Hour Enforcement: Notice to reschedule or cancel a session must be received at least twenty-four (24) hours before our scheduled start time. Because these pro-bono portfolio slots are strictly limited and actively reserved for individuals ready to rebuild, any late cancellation, failure to provide 24-hour notice, or unexcused absence will automatically forfeit that specific slot and count as a fully completed session. I understand that emergencies happen and will evaluate unexpected crises on a case-by-case basis.
Planned Travel: Please notify me of any upcoming vacations or business trips as soon as you have an itinerary so we can pre-schedule our blocks. I will extend the same professional courtesy to you when planning my travels.
